Scheduling guide
This guide walks through how scheduling works on the platform: from selecting when your team can play through to an agreed match time (or moderation if needed). For a quick summary, see Match week flow.
How scheduling works (summary)
Select availability
Each Captain picks when their team can play. Slots are league (Sydney) time but shown in your local timezone. Second Captain to submit sees the first Captain’s choices as blue dots.
Blue dots = opponent available
So you can aim for an overlap. Only your green selections are submitted.
Both submit → system finds overlap
Overlapping slots = times both teams selected as available.
Outcome
One overlap → match scheduled. Multiple overlaps → preference round (each picks preferred; same = that time, different = earliest). No overlap → round 2, then moderation if still none.
Deadline & forfeit
Usually Wednesday 11:59 PM AEDT; platform reminds if one side hasn’t. Agreed time is used for forfeit cut-off.
1. Select availability
Each Captain or Vice Captain selects the time slots when their team can play. Do this after coordinating with your players so you know who’s free when.
- Slots are in league (Sydney) time, but the platform shows them in your local timezone (e.g. Perth, Adelaide, Auckland) so you pick when you’re actually free.
- You’ll see a modal titled Select Your Availability with a grid of days and times. Tap or click slots to mark them as available (green). Use All / None per day to speed things up.
- Only your green selections are submitted. Select multiple days and times to maximise the chance of finding an overlap with the other team.
The availability modal
Below is what the Select Your Availability modal looks like (with dummy dates). Each part is explained so you know what to expect.
Select Your Availability
Pick the times your team can play
Timezone (this example): Times are shown in Sydneytime (league time). In the real modal, the platform shows these same slots in your profile or browser timezone (e.g. Perth, Auckland) so you pick when you're actually free.
Tip: Only your green selections are submitted. The blue dot shows when the opponent can play (for context only). Select multiple days and time slots to maximise the chance of finding an overlap.
How it works:
- Header: Title and subtitle remind you that you’re picking when your team can play. The close (X) button cancels without submitting.
- Grid: Columns are league days (e.g. Wed–Sun for the match week); rows are time slots in your timezone (e.g. 11am–8pm Perth). Each cell is one slot — click to toggle available (green) or not.
- All / None: For each day column, All selects every time slot on that day; None clears them. Use these to quickly fill or clear a whole day.
- Slot states: Not selected (grey) = your team isn’t available. Selected (green with tick) = you marked this slot as available; only these are sent when you submit. Preferred hours (orange border) = league-recommended times (e.g. evening Sydney); you can still pick outside them. Opponent available (blue dot) = the other Captain already chose this slot; it’s for context so you can aim for an overlap.
- Legend: Explains the colours and the blue dot so you can read the grid at a glance.
- Timezone box: Explains that times are shown in your timezone (e.g. Perth) while the league runs on Sydney time; the grid converts so you pick when you’re actually free.
- Tip: Reminds you that only green selections count and that selecting more slots increases the chance of an overlap. The blue dot is informational only.
- Footer: Shows how many slots you’ve selected (e.g. “4 of 50”). Cancel closes without saving. Submit Availability sends your choices; the number in the button matches the counter.
2. Blue dots — opponent available
The second Captain to submit sees the first Captain’s choices as blue dots in the grid. Those dots mean “opponent available at this time” — they’re for context only. Your job is to pick when your team can play; the system will then find overlapping slots (times both teams selected).
- If you select exactly one slot that has a blue dot, the match is scheduled for that time as soon as you submit.
- If you select multiple slots that have blue dots, the system moves to a preference round (see below).
- If there’s no overlap (no slot has a blue dot where you also selected), the match goes to round 2 (see below).
3. After both submit — overlapping slots
Once both Captains have submitted availability, the system finds overlapping slots: times that both teams selected as available.
One overlapping slot
Match scheduled for that time
You're done.
Two or more overlaps
Preference round
Each Captain picks preferred time; same = that time, different = earliest.
No overlap
Round 2, then moderation
Submit again with visibility of round 1; if still no overlap, a mod helps agree a time.
4. Preference round (multiple overlaps)
When both teams are available for two or more of the same slots, each Captain is asked to pick their preferred time from that overlap.
Multiple overlaps — pick your preferred time
- 1You each see a short list of the overlapping times (in your local timezone). Choose one and submit.
- 2Same slot? Match is set to that time.
- 3Different slots? The system chooses the earliest of the two.
5. No overlap — round 2 and moderation
If there are no overlapping slots after the first round:
- Round 2 starts: you can see each other’s round‑1 availability and submit again. Sometimes seeing the other team’s times helps find a compromise.
- If there’s still no overlap after round 2, the match is flagged for moderation. Both teams need to work with a mod to agree a time (e.g. via Discord or the platform). The mod can help find a slot that works or apply league rules.
6. Deadline and outcome
Deadline and outcome
Usually Wednesday 11:59 PM AEDT. Both Captains must complete scheduling by then. The platform sends a reminderif one side hasn't submitted.
Once a time is agreed, you get an agreed scheduled time. If the match isn't played by the end of that slot, the other Captain can mark a forfeit. See League rules for forfeit and no-show.
